Manual Add extra mailbox via Full mailbox rights

Based on Outlook 2016

This manual helps you adding extra mailboxes when you are authorized via Full mailbox rights

What do you need?

  • A computer with a connection to MAASnet in one of the following ways:
      • direct in a UM building (LAN or WiFi)
      • via the ICTS VPN connection (for the installation and the use of VPN we would like to refer to the manual on our website)
  • Outlook 2010, which you can find in the Microsoft Office 2010 package.
  • An employee or student account of Maastricht University.
  • The Full mailbox rights on the mailbox you want to add.

Please consult the “Frequently Asked Questions” at the end of the manual in case you encounter problems in using the manual or the service.


Step 1: (Make sure Outlook is closed)

  •  Click on the start button and choose “Control Panel”


Step 2:

  •  Double click on “Mail (32 Bit)

Step 3:

  • Click on “E-mail Accounts…”

Step 4:

  • Click on “New…”

Step 5:

  •  Choose “E-mail account” and click on “Next>”

Step 6:

  • Enter the “E-mail address” you want to add in the “E-mail account” field and click on “Next>”
    (You can leave the other fields blank)

Step 7:

  • The account is now added. You can choose “Add another account” in case you would like to add an additional account. Otherwise click on “Finish”

Step 8:

  • Click “Close” to close the “Account settings” window.

Step 9:

  • Click on “Close” to close the “Mail Setup” window.
Step 10:The mailbox will now appear in the Folder list.

Step 11: Usage

  • If you send an e-mail a “From” field will now appear. In this field you can select the account from which you would like to send an e-mail.
  • You can activate the “From” field in the Options. After one-time activation the option will remain visible.
  • In case you send an e-mail from an additional account the mail will automatically be saved in the Sent Items folder of the account from which the mail was send.

How do I know if I have delegate rights or full mailbox rights?

If you get the question shown to the left (after step 9 when opening Outlook), you do not have full mailbox rights. If the other manual for delegate access works, you have delegate access. You can also ask the administrator of the account. This is your department head or AthenaDesktop User Representative.
